Hello, All

A couple of years ago I created a large CMSB website for my village community.

The site has proved very successful - so much so that it has become the platform for all sorts of initiatives. At a recent meeting it was suggested the site be used to host digital editions of the "Parish Magazine" in PDF form. Sounds fine - until you realise there have been 12 issues published every year since 1861!

The process of uploading the files began around Christmas. A record was created for each year and the 12 pdfs added as attachments. The users simply visit the page/year of their choice and download the associated issues.

The Parish Committee has now decreed that we need a better way for people to access the magazines. Instead of having to view each page - year by year - they want visitors to be able to download any issue from any year from the main Parish Magazine home page.

I wonder how I can possibly do this...?!

First - hire Interactive Tools to build you a batch uploader that creates a unique record per magazine which includes:

  • Magazine Title
  • Magazine Publish Day, Month and Year
  • Magazine Topics or Summary if needed
  • And any other necessary fields you need per magazine issue upload.

This will save you enough time that it would pay for Interactive Tool's labor to build many times over.

Next build a search engine that queries ONLY the magazine records, with a field search to query keywords of the magazine titles, topics and/or summary, also build a set of drop selectors for search by month and/or year. This would allow the user to drill down on magazine issues using keywords or by month or year.

Hi Perchpole,

I think Zickys suggestion of creating a record for each magazine is definitely the way to go. You could have an upload field for each record that only allows you to upload one item (see attached screenshot), and then have fields for the title, description, publish date, etc. By doing this it will also be very easy to sort/search/filter the records in future. 

It would be possible to create a script to import your current records into this new section, which would save you some time in having to reupload/recreate everything. This is something we would be able to help you with via consulting if you need.
