greetings! We publish a journal annually. The 2004 version is in its own document group. I would like to duplicate all of the files and menu to make it easier to publish the 2005 version. So I copied all of the files into a new folder, and created a new group that points to the new Publish Directory. It all looked okay in the browser, however, the files did not come up on the group's menu. Next, I looked in the Data folder to see what files may have changed. There was a new ".dat" for the new group, so I copied the body of the old Journal into the body of this new ".dat" file, except for the first few lines (replaced everything after "__End__"). Now the menu comes up in Document Manager for the new journal, though it seems to be shifting document order haphazardly. When I go to add or edit a document title, it doesn't end up where I tell it to, and other titles disappeared. Can you tell me what else I need to do? The idea of duplicating a group can save us a lot of time. Thanks much - Ruthie

I'm really eager for a reply. I'm in production right now and continuing to have problems. I just saved a title and it not only switched places with another title but it looks like it has replaced the content of the other file too. I guess I may have my answer...this just isn't possible without risking too many errors. Ruthie

Hi Ruthie, Thanks for posting and sorry for the delay in getting back to you. Each entry into DocBuilder needs to have a unique number, so I suspect that you have some duplicate numbers in there. If you open the article.dat with a text editing program, you will see that each item is just a separate line in the file the line will look something like this: 1ˇ1123275275ˇ1123275275ˇ1ˇ1ˇ0ˇ1ˇ0ˇˇˇtextˇˇ The first column (1ˇ) would represent the document number (this number must be unique). So I think that the easiest thing to do would be to move the data into a .txt file and then import that into a .CSV file. That way you can give each document it's own unique number. When you given each document it's own unique number, you can move the the content back into a text editor (I use Ultra Edit, but you can use whatever program you like) using the copy and paste method. When you paste the content, there should be spaces between each column, or the default delimiter. Once the data is all in the text file, do a search and replace on that file, replacing the space or default with the DocBuilder delimiter (ˇ). You will want to make sure that there are not any extra or missing fields in the list, so compare an exiting entry to one of the new documents in your list. Thanks very much for the reply. I understand the DAT file better now, but have discovered an additional problem. Even when the identifying numbers are unique (no duplicates), when I go to edit an exiting entry, I never know where it will place it in the order! It's jumping them all around, so now I am going in and cleaning up the .dat file to keep them in the order I want!#$@ There must be something I am missing. - Ruthie
